Registration Categories
- Main Conference Registration: Includes access to all conference sessions, keynotes, breakfasts, luncheons, coffee breaks, social events, and conference proceedings.
- Required for accepted main conference papers, posters, demos, and PhD Forum participation.
- Workshop/Tutorial Registration: Includes access to a specific workshop/tutorial session, breakfasts, luncheons, coffee breaks, and workshop proceedings and tutorial materials.
- Required for accepted workshop papers.
- Competitions Registration: Includes access to a specific competition, breakfasts, luncheons, and coffee breaks.

Refund Policies
- Standard Cancellations
- Registrations cancelled on/before April 14, 2025 (the cutoff date for Early Bird Rate) are subject to $100 charge for processing fee.
- No refunds will be issued after April 14, 2025.
- Visa-Related Cancellations
- A valid registration is required to request an official visa invitation letter. Attendees should apply for their visas as early as possible to meet registration deadlines.
- If a visa application is denied (or if the decision is not expected to arrive prior to April 30th), a full refund (minus a $50 administrative fee) may be issued. The request must be submitted by April 30, 2025, with supporting documentation (e.g., an official visa rejection letter).
- Visa-related refunds will not be issued after April 30, 2025.
- If the registrant has an accepted paper, at least one non-student registration must be maintained for the paper to remain in the program. In such cases, refund requests will be evaluated on a case-by-case basis.
- Transfer Policy
- Registrations may be transferred to another attendee within the same registration category (e.g., student to student, non-member to non-member).
- Transfer requests must be submitted by May 1, 2025, and are subject to a $50 processing fee.
Registration Requirement for Accepted Submissions
Main Conference Papers: Each accepted main conference paper requires one non-student main conference registration.
Workshop Papers: Each accepted workshop paper requires one non-student workshop registration.
Posters, Demos, Work-in-Progress Presentations, and PhD Forum:
- Attending any main conference event (posters, demos, work-in-progress presentations, or the PhD Forum) requires one main conference registration.
- One student or non-student main conference registration covers all posters, demos, work-in-progress presentations, and PhD Forum attendance.
- If an attendee has a main conference paper presentation, their registration covers at most ONE poster, demo, work-in-progress, OR PhD Forum participation.
Each non-student registration can cover at most one paper. This applies to both main conference and workshop registration policies.
